Customer Terms and Conditions

These Customer Terms and Conditions apply to International Student Desk, a registered trade name of a Dutch sole proprietorship (eenmanszaak).

Operator and service

International Student Desk is a registered trade name of a Dutch sole proprietorship (eenmanszaak), Kortenaerkade 9N, 2518 AX Den Haag, Netherlands, KvK 93791380, VAT ID NL005043544B06. The Desk is an interactive online digital planning system supplied as fixed one-year access for one named student aged 16 or older. In these Terms, one year means a fixed period of 12 consecutive calendar months beginning immediately after successful payment and ending at the date and time shown in the purchase confirmation. It is not tied to a school year.

The Desk helps users organise study choices, deadlines, checklists, Studielink steps, university portal steps, and links to official sources. The Desk is not a chatroom or social network.

Customer, student, guardian and payer

The customer and licence holder is the one named student shown in Checkout and the purchase confirmation. The Desk Pass is personal, cannot be transferred and cannot be shared with another student.

If the named student is 16 or 17, a parent or legal guardian must approve the specific price, Customer Terms version and purchase through the secure approval link sent directly to that guardian before Checkout can open. The approval does not create a separate guardian account or a transferable family licence.

A different person may provide the payment method on the student's behalf. Paying does not make that person the customer or give them independent Desk access. Any refund is normally returned to the original payment method, subject to mandatory law. A guardian may exercise the minor student's rights on the student's behalf where the law permits.

Account types and age

At launch, each account and paid Desk Pass belongs to one named student aged 16 or older. Under-16 product registration is not offered.

A student aged 16 or 17 may buy only with the direct approval of a parent or legal guardian. The guardian confirmation is recorded for that specific contract. A guardian may pay without receiving a Parent Desk, linked guardian access or a transferable family licence.

Your account responsibilities

You must provide accurate account information, keep your login details secure, not share your password, tell us if you think your account has been misused, and use the Desk only for lawful education-planning purposes.

Platform rules

You must not use the Desk for illegal, harmful, abusive, or misleading purposes; try to access another user's account; try to access non-public builder/admin tools; upload unnecessary sensitive personal data; enter confidential information into Fen; interfere with security; impersonate an official organisation; or use Fen or the Desk to generate fraudulent, misleading, or dishonest application material.

You remain responsible for following your school or examination body's academic-integrity rules. Do not present Fen output as your own assessed work where those rules do not allow it, and do not use the Desk to evade plagiarism, authorship or assessment controls.

Technical requirements and what is included

Using the Desk requires a reliable internet connection, a working email address, JavaScript and necessary cookies or browser storage, and a current version of a mainstream browser that still receives security updates. The customer is responsible for their device, connection and any third-party access charges.

The one-year Desk Pass includes the student-facing Desk features made available for the purchased access tier and Fen access described below. Coming-soon products, The Club, a Parent Desk, separate guardian access and third-party services are not included unless Checkout expressly says otherwise.

We may make maintenance, security and reliability changes and may temporarily interrupt the service where reasonably necessary. We will take reasonable steps to limit avoidable disruption and give notice of material planned interruption where practicable.

Official sources

The Desk may show links and summaries based on public or official sources. This is meant to help you prepare. You must always verify important information with official sources where needed.

No guarantee

The Desk does not guarantee admission, eligibility, complete or current deadlines, complete or current document requirements, scholarship results, visa or residence permit outcomes, tuition fee status, or successful use of Studielink or university portals.

Fen fair use

Fen is an AI assistant, not a person or official source. It is available only while the matching named student's paid Desk Pass or approved free access remains active, and it is limited to Desk-related education planning.

Fen, IB Student Buddy, is included throughout the active access period for Desk-related education planning, IB subjects, academic progress, Dutch study choices, admissions-source checks, Time Management, and Turning 18. These Terms do not promise a fixed number of prompts or answers.

Fair use means personal, ordinary, interactive use by the named student for their own education planning. It does not include sharing access; automated, bulk or systematic requests; scraping or extracting content; attempts to reproduce the system or its protected content; bypassing safeguards; resale or other commercial use; or activity that unreasonably burdens, disrupts or creates a security risk for the service, its users or its providers.

We may apply reasonable rate and concurrency controls to prevent abuse, protect security or keep Fen reliable for users. These controls will be proportionate to the observed use and risk. They may slow, decline or briefly pause Fen requests, while the rest of the Desk remains available where practicable.

If we believe use falls outside this policy, we may decline the affected request or temporarily restrict Fen. Except where immediate action is reasonably necessary for security, unlawful use or prevention of harm, we will explain the concern and give the student a reasonable opportunity to stop or remedy it before a longer restriction. We will remove the restriction when the concern has been resolved.

Fen access is part of the Desk Pass and is not sold or transferable separately. A paid 12-month period ends automatically, and a later period requires a new purchase. Fair-use controls do not reduce any statutory withdrawal, digital-service conformity, refund or other mandatory consumer right.

When you ask Fen a question, the Desk sends the question, limited recent conversation and only the relevant Desk context to OpenAI to generate the answer. The Product Privacy Notice and the Student Data and Fen Privacy Q&A explain provider retention, human review, training and deletion boundaries.

Fen output may be incomplete, inaccurate, outdated or similar to output supplied to another user. You must review it, verify important requirements with official sources and remain responsible for how you use it, including in schoolwork or applications.

Prices, payment, cancellation and refunds

The September 2026 launch price is €79 including VAT for one year. It applies when the customer starts Checkout between 00:00 on 1 September 2026 and 23:59:59 on 30 September 2026 in the Europe/Amsterdam time zone and completes payment before that Checkout session expires. The price displayed to apply from 1 October 2026 is €149 including VAT.

Each paid period ends automatically. There is no automatic renewal or later charge. Continued access requires a new purchase. The price for a new one-year period is the price displayed, including VAT, before the customer completes that purchase and may differ from prices previously offered. A new period begins only if the customer actively accepts the then-current offer and payment is successful. If the customer does nothing, access remains ended and no further charge is made.

The contract is concluded when payment succeeds. Before payment, Checkout shows the total price, VAT treatment, fixed duration, included features, payment method, withdrawal right, the required request for immediate access and the support route.

The Product Privacy Notice and these Customer Terms and Conditions, including the withdrawal information and model form below, are provided as readable links before payment. A required checkbox records that the customer has read the Product Privacy Notice; it is not consent to personal-data processing. A separate, unticked checkbox records fresh agreement to the stated version of these Customer Terms and Conditions for this purchase. Another separate, unticked checkbox records the customer's express request for access to begin immediately after successful payment and acknowledgement that a lawful proportionate charge may apply if the customer withdraws after service has begun.

For an eligible online consumer purchase, the statutory withdrawal period normally runs for 14 days from the contract date. The Desk is offered on an immediate-access basis, so Checkout can be completed only after the customer expressly requests access to begin immediately after payment. If the customer withdraws during that period, a proportionate time-based charge for service supplied before withdrawal may apply where the law permits and the required information and request were properly provided and recorded. Requesting immediate access does not itself end the withdrawal right. Fen usage is not treated as a separate non-refundable purchase or used to invent a deduction.

Any refund due after a lawful proportionate deduction will be made without undue delay and no later than 14 days after we receive the withdrawal declaration. We will use the same payment method used for the original transaction unless the consumer expressly agrees otherwise. The consumer will not incur any fees as a result of the reimbursement.

During the applicable period, the signed-in consumer can use the clearly visible online withdrawal function at /withdraw, linked as ‘Withdraw from contract here’ in the website footer. It remains available throughout the withdrawal period, confirms the customer name, contract reference and electronic confirmation address, requires an unambiguous confirmation, records the date and time, ends Desk and Fen access, automatically emails a durable dated confirmation and keeps the confirmation available for download. Account deletion is a separate privacy action and is not contract withdrawal.

Stopping use, deleting the account or leaving school for the summer does not end the fixed one-year period and does not create a right to a partial refund. This does not limit the withdrawal right, rights for a service that does not conform to the contract, or any other mandatory consumer right.

Consumer rights that cannot lawfully be excluded remain unaffected.

Digital-service quality, updates and remedies

We will supply the Desk in accordance with the contract and provide the functionality, compatibility, accessibility, continuity and security that a consumer may reasonably expect from the description and purchase information. We will provide updates, including security updates, that are necessary to keep the Desk in conformity during the paid period.

If the Desk does not conform to the contract, the customer may ask us to bring it into conformity without charge, within a reasonable time and without significant inconvenience. Where the legal conditions are met, the customer may instead be entitled to an appropriate price reduction or to end the contract and receive the refund required by law. These remedies are in addition to the withdrawal right and cannot be restricted by these Terms.

The customer should install relevant browser, operating-system or Desk updates within a reasonable time after being informed of their availability and consequences. We are not responsible for a lack of conformity caused solely by failure to install a properly supplied update, where the legal conditions for that exception are met.

Changes to the Desk and these Terms

We may change the Desk during a paid period where the contract allows it and there is a valid reason, such as improving security, reliability, accessibility or usability; adapting to law or official-source changes; preventing abuse; or replacing a provider or technical component. A change will not impose an extra charge during the current paid period.

We will explain material changes clearly. If a change negatively affects access to or use of the Desk by more than a minor amount, we will give reasonable advance notice on a durable medium, explain the nature and timing of the change and state any right to end the contract without charge. Where mandatory law permits termination, that right may be exercised within 30 days after the notice or the change, whichever is later, unless we allow continued access to the unchanged conforming service without extra cost.

We may amend these Terms for future purchases. The version accepted for an existing purchase continues to govern that fixed paid period unless a change is required by law or the customer expressly agrees to it. The purchase confirmation identifies and includes the accepted version.

Founding-student offer

A founding-student offer is a limited free one-year Desk Pass for one named eligible student and is subject to the published availability and eligibility conditions. Applying or registering interest does not guarantee a place; access is granted only after written confirmation from International Student Desk.

The Pass ends automatically after one year, does not renew and has no cash value. It may not be transferred. No positive review, endorsement or favourable feedback is required. Feedback is voluntary, and any published review connected to free access must disclose that connection.

Model withdrawal form

Complete and return this form only if you wish to withdraw from the contract. Using this model form is not obligatory. You may instead send any other unequivocal statement that you are withdrawing.

The online withdrawal function at /withdraw, linked as ‘Withdraw from contract here’ in the website footer, is also available during the applicable period and provides an immediate reference and dated confirmation.

Ending access and deleting data

Paid Desk and Fen access ends automatically at the date and time stated in the purchase confirmation. The account remains available for account, privacy, export and purchase controls unless it is deleted. Signed-in users can permanently delete their product account through Privacy & account. Deletion is irreversible for active product data and does not create a right to a partial refund, without limiting mandatory rights.

We may temporarily suspend access only where reasonably necessary to investigate or address a material security risk, fraudulent or unlawful use, non-payment, harmful interference with the service, or a serious or repeated breach of these Terms. Where reasonably possible and lawful, we will explain the reason, limit the suspension to what is necessary and give the customer an opportunity to remedy the issue. We may permanently end access only where the breach cannot reasonably be remedied or remains unremedied after appropriate notice, or where immediate termination is necessary to protect users, the service or comply with law. Any mandatory refund or remedy remains available.

Account closure does not remove records that must be retained for a specific legal, accounting, fraud, dispute or consent-evidence purpose. The Privacy Notice explains the operational deletion baseline and rights route.

User content and access after the paid period

The student keeps ownership of information and content they enter. The student gives us a limited, non-exclusive licence to host, process, copy and display that content only as needed to provide, secure and support the Desk and meet legal obligations.

The student can use the available account export while the account remains open. After paid access ends, Desk and Fen features are unavailable, but account, privacy, export and purchase controls remain available unless the account is deleted. This does not limit any mandatory right to retrieve non-personal content supplied or created by the customer when ending a digital-service contract.

You remain responsible for having the right to provide content to the Desk and for not entering another person's private or confidential information without permission. The limited licence in these Terms does not permit us to sell student content or use identifiable student content to train general-purpose AI models.

Responsibility and liability

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded, including liability for intent or deliberate recklessness, personal injury, failure to supply mandatory updates, or mandatory consumer remedies.

We are responsible for loss that is a foreseeable result of our failure to comply with the contract. We are not responsible for loss caused solely by incorrect or outdated information on an external website, the customer's failure to verify an official requirement, unsupported or insecure customer equipment, or misuse of the Desk, except to the extent our own breach contributed to the loss.

The Desk is supplied for personal education-planning use. We are not responsible for business losses such as lost profit, revenue or opportunity where the customer uses it for a trade or profession, subject always to mandatory law.

Privacy and marketing

Our Privacy Notice explains how we process personal data. Marketing emails are optional and can be unsubscribed from at any time.

Complaints, applicable law and courts

Questions may be sent to hello@internationalstudentdesk.com. Complaints may be sent to complaints@internationalstudentdesk.com. Please include the account email and contract reference where available, but do not send passwords or unnecessary sensitive information. We will acknowledge a complaint promptly and aim to provide a substantive response within 14 days. If more time is reasonably needed, we will explain why and give a new response date.

Dutch law applies without taking away mandatory consumer protections that apply in the student's country of residence. The customer may use the competent Dutch courts or another court available under mandatory consumer law.
